Beginner Freelancer Expenses People Forget

A checklist of common freelance expenses to include before setting your hourly rate.

Many beginners price only the visible work. They forget the business costs that make the work possible.

Common expenses include software, hardware, website hosting, domain names, payment processing fees, bookkeeping, tax preparation, insurance, education, templates, contractors, subscriptions, and office supplies.

There are also invisible costs: sales calls, admin time, revisions, research, client onboarding, file management, and gaps between projects. These do not always appear as bills, but they still affect your rate.

Before quoting, make a rough annual expense number. It does not need to be perfect. A rough number is better than pretending expenses are zero.

When your expense estimate changes, update your rate calculation. Pricing is not a one-time decision.
